How we picked
White label is a business-model requirement disguised as a feature request. The buyer is almost always an MSP, an agency, or a software company embedding support into its own product, and what they need is for the end customer to never learn which helpdesk is underneath. That means branding removal has to be complete, not partial — and partial is the industry norm, with vendor names surviving in email footers, portal source code, and chatbot widgets long after the logo has been swapped.
So we audited coverage across every surface an end customer can see: agent UI, portal theme, custom domain, login page, and transactional email. Email is where most tools fail. The portal looks perfect, then every notification ships with a footer advertising the vendor to your client's entire user base. We favored platforms that give you direct template control, which in practice means self-hosted, where the templates are files you can edit.
Then we split multi-brand from multi-tenant, because conflating them is how service providers get into trouble. Multiple branded front ends over one shared ticket pool is fine for a company with several product lines. A provider serving competing clients needs genuine data isolation — separate brands, separate portals, separate access boundaries, and reporting that can't accidentally join across them. Vivantio is on this list specifically for that requirement.
Finally, pricing. White-label buyers grow agent count faster than typical support teams, because every new client adds seats. Per-seat cloud pricing that looks reasonable at five agents becomes a margin problem at fifty and starts losing you deals. That's why the top of this list skews toward flat-rate and self-hosted options where your cost doesn't scale with your client roster.
What to prioritize
- Branding removal in transactional email. Send yourself a real notification during the trial and read the footer. This is the most-seen surface and the one vendors most often exclude.
- Your own sending domain with SPF, DKIM, and DMARC. A custom portal domain paired with vendor-domain email is a half-finished white label and a deliverability liability.
- Multi-tenant isolation if you serve competing clients. Multi-brand theming is not data isolation. Confirm that agents scoped to one client cannot search across another's tickets, and test it.
- Template-level control, not a theme picker. A color and logo uploader gets you 70% there. Editable HTML and CSS templates get you all the way, which is why self-hosted options dominate this category.
- Flat or self-hosted pricing if you're reselling. SupportPal's unlimited-operator annual license and the free open-source options decouple cost from client growth. Per-seat cloud pricing will constrain which deals you can profitably take.
- AI and widget attribution. Chat widgets and AI reply features frequently carry vendor credit that white-label plans don't remove. Ask before you build the pitch deck around it.
