Kylas Sales CRM Pricing Explained (2026)
Kylas charges a flat $250/month for unlimited users and meters records instead — a pricing model that gets cheaper per person the bigger your team gets, and more expensive the longer you use it.
| Plan | Price | Billing | What you get |
|---|---|---|---|
| Embark | $0 | lifetime free | Unlimited users, 1,000 records (non-expandable), 5 GB storage, lead/contact/deal management, custom pipelines and mobile app |
| Elevate | $250/mo | flat rate, quarterly, half-yearly or annual billing, 7-day free trial | Unlimited users, 100,000 expandable records, 100 GB storage, BI analytics, email/SMS/WhatsApp integration, workflows and API access |
| Exceed | Custom quote | sales-negotiated | 1,100,000 adjustable records, 600 GB storage, unlimited users, phone support and a dedicated account manager |
| Add-ons (per month) | From INR 200 | monthly, stacked onto Elevate | Records +20,000 at INR 500, storage +20 GB at INR 300, workflows ×10 at INR 500, email templates ×10 at INR 500, email tracking INR 800, BI analytics INR 5,000, field sales tracking INR 400/user/month |
| Onboarding and training | From INR 5,000 | one-time | Customised onboarding at INR 25,000; three-hour training sessions at INR 5,000 |
Flat pricing, metered records
Kylas made one structural decision that determines everything else: it does not charge for users. Every plan, free tier included, carries unlimited user licences. What it meters instead is records — 1,000 on the free Embark plan, 100,000 on Elevate, 1.1 million on Exceed — plus storage, and a long list of feature add-ons.
That inverts the cost curve every per-seat CRM trains you to expect. On a seat-based tool, your bill rises when you hire. On Kylas, your bill rises when your database grows, which it does continuously and irreversibly whether or not you hire anyone. Seats you can remove. Records you generally cannot.
What flat rate does to cost per head
| Team size | Kylas Elevate | A $30/seat CRM | Cost per user on Kylas |
|---|---|---|---|
| 3 users | $250/mo | $90/mo | $83 |
| 8 users | $250/mo | $240/mo | $31 |
| 25 users | $250/mo | $750/mo | $10 |
| 60 users | $250/mo | $1,800/mo | $4 |
The break-even against a typical mid-market per-seat CRM lands around eight users. Below that, Kylas is expensive per person and you are paying for headroom you do not use. Above it, the gap widens fast, and by twenty-five seats the comparison is not close.
This is why Kylas reads as an obvious deal to some buyers and an obvious non-starter to others. It is not a better or worse price — it is a different axis, and where you sit on the headcount curve decides everything.
The add-on menu is the real pricing page
Elevate's $250 is genuine, but it is a floor rather than a ceiling. Kylas sells records in 20,000-record blocks at INR 500, storage in 20 GB blocks at INR 300, workflows ten at a time at INR 500, email templates ten at a time at INR 500, plus email tracking at INR 800, multi-currency at INR 2,500, security at INR 2,500, goals at INR 2,500 and BI analytics at INR 5,000.
Two observations. First, the capacity add-ons are cheap: 20,000 more records for roughly six dollars is not a number that will hurt anyone. Second, the capability add-ons are not: BI analytics at INR 5,000 a month is a meaningful fraction of the base plan, and stacking three or four of them changes the effective price materially.
Field sales tracking deserves separate attention at INR 400 per user per month. It is the one line item that reintroduces per-seat pricing to a seat-free product, and on a forty-person field team it costs more than the platform does.
Setup, terms and commitment
Elevate bills quarterly, half-yearly or annually — no monthly option, but quarterly is short enough to be a genuine off-ramp, which is rarer in this category than it should be. The 7-day trial requires no card. Customised onboarding is INR 25,000 one-time and three-hour training sessions are INR 5,000, both optional but both worth pricing if you are migrating real data.
Who should and should not buy this
Kylas fits growing sales teams that expect to add people faster than they add records — inside sales operations, agencies, distributors, anyone whose headcount curve is steeper than their database curve. It fits especially well where a per-seat CRM has already made hiring feel expensive, and where the finance team values a predictable flat line over a variable one.
It fits poorly for small teams with large databases. Four users and 300,000 records is the worst case for this model: high cost per head, plus record add-ons on top. It also fits poorly for large field organisations, where the per-user field tracking add-on quietly rebuilds the seat bill the flat plan was supposed to remove.
Kylas prices primarily in rupees and revises its add-on menu periodically. Confirm current rates and your billing currency at kylas.io/pricing before you budget.
What the pricing page doesn't show
- The add-on menu is where flat-rate pricing stops being flat. Records, storage, workflows, email templates, goals, multi-currency, security and BI analytics are all separately priced monthly line items that stack on top of the $250.
- Field sales tracking is charged at INR 400 per user per month — the one add-on that reintroduces per-seat economics into a deliberately seat-free plan, and the one most likely to bite a large field team.
- Records accumulate; seats do not. A flat plan gets cheaper per person over time and more expensive per record, which reverses the usual CRM cost curve and means your third year costs more than your first even with no new hires.
- The free Embark plan's 1,000 records are explicitly non-expandable. There is no top-up path — hitting the ceiling means moving to Elevate, not buying more.
- Pricing is anchored in rupees (INR 12,999 flat, add-ons in INR), so the dollar figure moves with the exchange rate. Budget in the currency you are actually invoiced in.
