How to Migrate from Zoho CRM to HubSpot
Zoho CRM's module model maps onto HubSpot objects with one big exception: Zoho keeps Leads and Contacts strictly separate, and HubSpot does not. That single difference drives most of the work.

What transfers cleanly
- Accounts, Contacts and Deals with custom fields, once matching HubSpot properties exist.
- Notes and activity history when imported via API in dependency order.
- Deal amounts, currencies and close dates, preserving historical pipeline reporting.
- Attachments, subject to HubSpot's file size limits.
- Owner assignment, if Zoho users have matching HubSpot seats by email.
What doesn't come across
- Blueprints. Zoho's process-enforcement engine has no HubSpot counterpart. The closest analogue is a combination of required stage properties and workflows, and it is looser by design.
- Layout-scoped fields. Zoho lets fields exist per page layout. HubSpot properties are global on the object, so multi-layout orgs end up with one merged property set.
- Workflow Rules and Functions. Zoho Deluge functions do not translate. Anything scripted needs rebuilding as a HubSpot workflow or a custom-coded action.
- Zoho Analytics reports. Nothing carries. Rebuild the reports that get opened, drop the rest.
- Multi-currency exchange-rate history. HubSpot handles multi-currency differently; historical converted amounts may shift after import.
- Territory management. Zoho territories have no direct HubSpot equivalent — approximate with teams and property-based routing.
Migration order that works
- Deduplicate contacts in Zoho by email before exporting. HubSpot will silently merge on email and you cannot easily undo it.
- Inventory which Zoho modules are genuinely in use — most orgs have custom modules nobody has written to in a year.
- Create HubSpot pipelines, stages and every custom property, mapping Zoho lead-only fields onto contact properties.
- Import in order: Companies, Contacts, Deals, then activities and notes.
- Reconcile record counts per object, and spot-check twenty records end to end including their activities.
- Rebuild Blueprints as HubSpot workflows plus required properties, accepting that enforcement will be softer.
- Keep Zoho read-only for a month to answer configuration questions and preserve Analytics history.
Zoho CRM and HubSpot both organise the world into companies, people and deals, so the export/import mechanics are straightforward. What is not straightforward is that Zoho is a stricter, more configurable system, and several of its strongest features are things HubSpot deliberately does not do.
Deduplicate first, import second
Zoho does not enforce unique email addresses. HubSpot does — it uses email as the contact primary key and will merge on import. If your Zoho database has the same person under two records with different owners and different deal history, HubSpot will fold them together and you will not get a clean undo. Run the duplicate report in Zoho, resolve it there, then export.
The Leads module is the structural decision
Zoho's separation of Leads from Contacts is real: different module, different fields, different layouts. HubSpot has one contact database. Every field that lived only on the Leads module needs a decision — create an equivalent contact property, or accept the loss. Do this as an explicit mapping document rather than discovering it during import, because once leads are contacts, the source of truth is gone.
Blueprints are the feature you will miss
Blueprint is Zoho's process-enforcement engine: it can genuinely prevent a record from advancing until conditions are met. HubSpot's model is advisory — required properties on stage transitions plus workflows that nudge. If your sales process depends on hard gates, prototype the HubSpot equivalent before you commit, not after. Some teams find the looser model liberating; the ones running regulated or highly standardised processes usually do not.
Multi-currency deserves a spot check
If you run multi-currency, compare a sample of historical deal amounts before and after import. The two systems handle exchange-rate history differently, and converted amounts on closed deals can shift, which quietly changes your historical revenue reporting.
