Zoho CRM and Google Workspace: Running Google Inside a Zoho Stack
Zoho would prefer you used Zoho Mail. Plenty of companies run Zoho CRM on top of Google Workspace anyway, and the integration is better than that tension suggests.

Setting it up
- Configure Google Sign-In first so account provisioning and deprovisioning follow your Workspace directory rather than a separate Zoho user list.
- Set the contact sync direction deliberately — one-way from Google to Zoho is the safe default, and two-way should be a considered exception.
- Establish the calendar policy before users connect: which calendars sync, and whether events marked private are excluded.
- Deploy the Zoho CRM Gmail add-on centrally through the Google Workspace admin console rather than asking each rep to install it.
- Decide where documents live — Drive or WorkDrive — and enforce it. Attaching by Drive link keeps one copy and one permission model.
- Move shared addresses like sales@ into Zoho's group email handling instead of connecting them as a personal mailbox.
Where the integration stops
- Two-way contact sync is rarely what you want. Pushing every CRM contact into personal Google address books is hard to undo and irritates everyone it happens to.
- Calendar sync needs a private-event policy. Without one, reps' personal appointments become visible in a shared CRM context.
- Zoho's own tools overlap Google's. Running Zoho Mail and Gmail, or Zoho WorkDrive and Google Drive, produces two homes for the same file and predictable confusion.
- Sync scope and frequency vary by edition. Confirm the limits on your specific plan rather than assuming behaviour described in general documentation.
- Shared aliases belong in a group mailbox configuration, not connected as an individual user's Gmail account.
The situation this integration exists for
A company runs Google Workspace, has done for years, and picks Zoho CRM because the price and feature breadth are hard to argue with. Nobody is migrating email.
Zoho clearly knows this happens. The Google integration is complete enough that the all-Zoho path is a preference rather than a requirement, which is more accommodating than several competitors manage with rival ecosystems.
The two settings that cause all the problems
Contact sync direction and calendar privacy. Everything else in this integration is either obviously right or low-stakes.
Two-way contact sync is enabled by people who think it means "keep the CRM up to date" and discover it also means "put four thousand CRM records on every rep's phone". Calendar sync without a private-event policy means a manager viewing a record can see a rep's dentist appointment.
Both are configuration decisions, both take five minutes, and both are much harder to reverse than to set correctly.
The overlap problem
Zoho sells an entire suite. Running it alongside Google Workspace means two mail systems, two document stores, two calendar tools and two chat products are theoretically available.
The teams that handle this well pick a side per category and enforce it. The teams that struggle let each department choose, and end up with proposals in WorkDrive that the sales team cannot find because they were looking in Drive.
Decide once, write it down, and make the CRM configuration reflect the decision rather than hedging.
What the Gmail add-on changes
More than it looks. Zoho CRM's interface is dense, and the friction of opening it to check one fact about a customer is exactly the friction that leads to reps not checking.
A sidebar showing the open deal, the last activity and the account owner next to the email being read removes that. It is the single highest-adoption piece of this integration, and it is worth deploying centrally rather than leaving to individual installs — the reps who most need it are the least likely to install it themselves.
