Insightly CRM lists at $29 per user/month, but Insightly sells four separate products — the bill depends on how many of them you switch on, not just seats.

The bill is built from products, not from a plan ladder

Most CRMs ask one question at checkout: how many seats. Insightly asks four. CRM, Marketing, Service (support and ticketing) and AppConnect (integration) are separate SKUs with separate price ladders, and only two of them are priced per user. Marketing is priced against how many prospects you are storing. AppConnect is priced against how many automation tasks you run. That means two companies with identical headcount can pay wildly different amounts depending on how much of the suite they light up.

This is the single most important thing to model before you buy. A 10-person services firm on CRM Professional alone pays $490 a month. The same firm adding Marketing Professional at 2,000 prospects pays $499 more — the marketing line item, driven by list size, costs as much as all ten CRM seats combined. Insightly's pricing page presents these as four calm parallel columns; the invoice does not feel parallel.

Where the bundle actually wins

The All-in-One bundles are flat per-account: $349/month at Plus, $899 at Professional, $2,599 at Enterprise. Insightly claims up to 30% savings over à la carte. Whether that holds depends entirely on seat count.

At Plus level, buying CRM Plus for 10 users à la carte is $290/month — already close to the $349 bundle, which then throws in Marketing, Service and AppConnect. At that headcount the bundle is obviously correct. At three users, CRM Plus alone is $87/month and the bundle is a four-fold increase for capability you may never open. The crossover is roughly where your seat count times your per-user rate approaches the bundle price. Run that number before a salesperson runs it for you.

Plus to Professional: what you are really buying

Plus gives you pipelines, projects, 100,000 records and 50 custom fields. Professional at $49 doubles most of those ceilings and, more importantly, adds workflow automation and lead assignment. The tell that you have outgrown Plus is not a feature wishlist — it is a person. If someone on your team spends their morning reading inbound form submissions and deciding who gets them, Professional pays for itself in about a week.

Professional to Enterprise at $99 is a much harder sell for an SMB. You get deeper deployment controls, higher API limits and bigger caps. Unless you are running a genuine multi-team rollout with change management concerns, Enterprise is procurement comfort rather than capability.

Add Marketing at 2,000 prospects and the Professional column gains a flat $499/month at every row — which is why Insightly gets relatively cheaper per person as you grow, and painfully expensive for a three-person shop that wants the full suite.

Annual billing and the AppConnect asterisk

All published Insightly pricing is billed annually. Insightly does not advertise a month-to-month rate on its pricing page, so budget for a twelve-month commitment as the default rather than the exception. The other thing to budget for: AppConnect's required technical setup is listed at $3,000, and extra task capacity is sold in $249/month blocks of 25,000. That is a real number that does not appear in any of the headline plan prices, and it is the most common source of sticker shock on an Insightly quote.

Who it fits

Insightly suits SMB professional-services firms — consultancies, agencies, construction, anyone where a closed deal becomes a delivery project — with roughly 8 to 50 users who want CRM and project tracking in one system. The native projects module genuinely saves you a second subscription to Asana or Monday.

It punishes very small teams who want the full suite, and it punishes contact-heavy, headcount-light businesses, because the Marketing product bills on prospects while the CRM bills on people. If your list is large and your team is tiny, price Insightly against a marketing-first tool before committing.

Verify before you buy

These figures were checked against insightly.com/pricing in July 2026 and are USD, billed annually. Bundle discounts, prospect-tier pricing and setup fees are all negotiable on larger contracts, and Insightly's own pricing page is the authority if anything here has moved.

What the pricing page doesn't show

  • AppConnect, Insightly's integration layer, requires a $3,000 technical setup engagement on top of the $249/month minimum subscription.
  • Every product line is billed separately. A team wanting CRM, Marketing and Service at Professional level is buying three subscriptions, not one plan upgrade.
  • Marketing is priced by prospect count, not seats. At 2,000 prospects Professional is $499/month per account, and that number climbs as your list grows even if headcount does not.
  • Record caps are per tier — 100,000 on Plus. Businesses that import years of historical contacts can hit a ceiling that forces a tier change unrelated to team size.
  • Mass email is throttled by tier at 2,500 sends per day on Plus. Campaign-heavy teams either upgrade or buy the separate Marketing product.

Does Insightly have a free plan?
Not any more. Insightly runs a 14-day free trial with no credit card required on CRM, Marketing and Service, but there is no permanent free tier. Older reviews citing a free two-user plan are out of date.
