Freshdesk and Zapier: what syncs, what doesn't, and how to set it up
Zapier connects Freshdesk to other apps with instant triggers on tickets, notes and contacts, and actions that write tickets, contacts and companies. It needs a paid Freshdesk plan, and API rate limits apply.
- Connector
- Freshdesk app in the Zapier directory, documented in Zapier's help center; connects with a Freshdesk API key; Zapier plans start free
- Sync direction
- Two-way through Zaps: Freshdesk triggers start a Zap, Freshdesk actions write back
- Setup time
- A few minutes to connect (API key and subdomain), plus time to build each Zap
- Availability
- Freshdesk Growth, Pro and Enterprise; not the Free plan. Any Zapier plan, though Free is limited to two-step Zaps
- Our rating
- 4 out of 5. Instant triggers on tickets, notes and contacts; ticket, contact and company actions. Free Freshdesk plans can't connect, and companies have no trigger.
| What | Direction | Detail |
|---|---|---|
| New tickets | Freshdesk → Zapier | The New Ticket trigger is labeled Instant. It starts a Zap each time someone creates a ticket in Freshdesk. |
| Ticket updates and notes | Freshdesk → Zapier | Update Ticket and New Ticket Note are separate Instant triggers. The New Ticket Note trigger fires when a note is added to a ticket. |
| New and updated contacts | Freshdesk → Zapier | New Contact and Update Contact are Instant triggers. Zapier describes a contact as a customer or user. |
| Create and update tickets | Zapier → Freshdesk | Create Ticket and Update Ticket actions write to your Freshdesk domain. Zapier's own example is a ticket created from a form entry. |
| Ticket notes | Zapier → Freshdesk | The Add Notes to a Ticket action adds a private or public note to an existing ticket. |
| Contacts and companies | Zapier → Freshdesk | Create Contact and Create Company actions add records. Companies take a name, description, notes and domains. No company trigger is listed. |
| Lookups | Freshdesk → Zapier | Find Contact and Find Ticket by Id are search steps. A Zap can look up a record before it acts. |
| Forum content | Zapier → Freshdesk | Actions create forum categories, forums and forum topics. |
| Raw API calls | Two-way | API Request (Beta) sends an HTTP request with the connection's authentication. Zapier calls it an advanced action. |
Setting it up
- Confirm your Freshdesk account is on Growth, Pro or Enterprise.
- Sign in to Freshdesk as an admin or account admin and copy your API key from the "API Key" section of your profile settings.
- In Zapier, open the Apps page, click + Add connection, search for Freshdesk and click Add connection.
- Enter the API key and your Freshdesk registered domain name, then click Yes, Continue to Freshdesk.
- Build a Zap with a Freshdesk trigger such as New Ticket, add an action in the other app, and test it.
- Check your Zapier plan's step limit and task allowance before you turn the Zap on.
Where the integration stops
- The Free Freshdesk plan cannot connect. Zapier lists Growth, Pro or Enterprise as a prerequisite, and Freshdesk's rate-limit page gives the Free plan 0 API calls per minute.
- API limits are per minute and per plan. Freshdesk lists 100 calls per minute on Growth, 400 on Pro and 700 on Enterprise. Growth also caps ticket creation and ticket updates at 50 calls per minute each.
- The two vendors disagree on the Growth limit. Zapier's help article says 200 calls per minute. Freshdesk's article, modified 6 August 2026, says 100. Plan around the lower number.
- The trigger list stops at tickets, notes and contacts. Companies have no trigger, and the docs list no delete actions. Use the API Request (Beta) action for anything else the Freshdesk API supports.
- Zapier's Free plan allows two-step Zaps and 100 tasks per month. A Zap with a filter, a lookup and an action needs the Professional plan or above.
Zapier connects Freshdesk to the other apps your team uses, through Zaps you build yourself. It suits support teams that need a ticket, note or contact event to start work somewhere else, or need another app to open tickets in Freshdesk. Nothing syncs until you build a Zap.
The fact that surprises teams is the plan check. The Free Freshdesk plan cannot connect, because Zapier requires Growth, Pro or Enterprise. Freshdesk gives the Free plan 0 API calls per minute. See Freshdesk pricing for what each plan includes.
Tickets and contacts trigger Zaps; companies only receive them
Freshdesk lists five triggers: New Ticket, Update Ticket, New Ticket Note, New Contact and Update Contact. Zapier labels all five Instant. Two search steps, Find Contact and Find Ticket by Id, let a Zap look up a record first.
The write side is wider than the read side. Actions create tickets, contacts, companies, forum categories, forums and forum topics, and they update tickets and add notes. A company can be created from another app, but a new company in Freshdesk cannot start a Zap.
Both vendors give the same example: a form entry creates a ticket. For the tool itself, see the Zapier integrations page.
Rate limits depend on your Freshdesk plan
Zap steps that read or write Freshdesk go through its API, so the account's call allowance applies. Freshdesk applies the limit to the account, regardless of agents or IP addresses. Freshdesk also says it is moving accounts from per-hour to per-minute limits in batches.
Growth gets 100 calls per minute, and Zapier's article lists 200. Freshdesk's page is the vendor's own and was modified on 6 August 2026, so plan around 100. On Growth, ticket creation and ticket updates are capped at 50 calls per minute each. Creating more than 50 tickets a minute through Zapier exceeds that cap.
Zapier's plan sets how much logic a Zap holds
On Zapier's Free plan, Zaps have two steps: one trigger and one action. You get 100 tasks per month. Triggers don't count as tasks, and an action that fails doesn't count either.
A Zap that filters, looks up a contact and then creates a ticket has more than two steps. It needs the Professional plan, from $19.99 per month. Zapier's pricing page also lists a polling time of 15 minutes on Free and 2 minutes on Professional. The Freshdesk triggers are labeled Instant, so the docs don't show that interval applying to them.
If the other app is Slack, Jira, Shopify or Gmail, compare the direct routes first: Freshdesk and Slack, Freshdesk and Jira, Freshdesk and Shopify and Freshdesk and Gmail. For the product overall, see the Freshdesk vendor page.
